Letter from the CEO
KaleidaCare continues to make great strides forward with adding new customers, new capabilities and new members of our team. On behalf of the entire team here, I’d like to express our deep appreciation for the support of the customer community and our partner organizations over the past months.
Many new features have been released in the last quarter. I am most excited about the financial billing capabilities we have added that will enable our customers to automate many of their processes and maximize their revenues. This extra efficiency allows customers to survive in an increasingly electronic world, and allocate more resources towards the care of children. The billing capability, combined with ongoing improvements in reporting and automated notifications have dramatically enhanced the system’s ability to support the leadership teams of our customers. Please talk to your account managers about how you can take advantage of the new features.
In addition to the many new customers, I have also been very pleased to reach agreement with FFTA to extend our exclusive partnership for another year, and to reach a new agreement with MAAC in Georgia.
We are continuing to invest heavily in the future with the help of additional investment and improved company performance. Three new software engineers are now helping bring new features and capability to our product. We are actively recruiting implementation and support specialists, seeking talent and experience to join our team within the next month. We have also hired two new IT specialists to keep our internal systems and the KaleidaCare Solutions system at the peak of reliability and allow our developers to dedicate their time to write code. Several customers have asked us to consider offering IT services to them, and we are evaluating that possibility.
In the meantime, we are consistently meeting the deadlines in our development roadmap and increasing our ability to be responsive to customers. We want to improve every day, because we know that every step forward we take touches the lives of nearly 30,000 children in care.

User Groups Keep Us Connected
KaleidaCare has held several local/state User Groups in March. On March 14th Angela Lee, Vice President of Sales and Services, and Chip Bolyard, Director of Account Management, met with Kentucky users in Louisville, KY to discuss recently released enhancements, upcoming development plans, and a discussion of Kentucky user needs.
A number of KaleidaCare staff participated in the Georgia User Group on March 22nd. Alistair Deakin, KaleidaCare CEO, addressed the group about company’s plans to assist the Georgia agencies as their transition to a Fee For Service Billing Model. Kelly Gober, KaleidaCare Chief Technology Officer, presented an update on several development projects, including the Document Storage and Retrieval Module, Electronic Billing Module, and Foster Parent Payment Report.
The Georgia User Group is organized by MAAC (Multi-Agency Alliance for Children).
We hope you will be able to join us for our Spring Advanced Training and National User Group. The two-day event will be held May 10th and 11th in Austin, Texas (our corporate headquarters). The Advanced Training will feature practice-based scenarios and problem-solving tasks using KaleidaCare Solutions. You will learn form KaleidaCare Staff and experience Solutions Users.

KaleidaCare would like to announce and welcome four new customers this quarter. Our community is continuing to grow as more child welfare agencies engage our solution to aid in their daily functioning.
KaleidaCare welcomes back The Methodist Home for Children and Youth. The Methodist Home has several locations including Albany, Americus, Columbus, St. Mary’s, Valdosta and Macon, which is the Main Campus. The Methodist Home has a variety of programs including Therapeutic Foster Care, Residential Group Homes, Independent Living, Intermediate Care, Intensive Family Intervention and a Child Development Center. The Methodist Home was one of the few agencies selected to be a part of a Best Practices in Behavior Support and Intervention Project aimed to reduce and eventually eliminate the use of restraints and seclusions. The Methodist Home for Children and Youth will be using the Revenue Maximazation Module of KaleidaCare to adapt to the Medicaid changes in Georgia. Welcome back!
Gwinnett Children’s Shelter, a member of the Multi-Agency Alliance for Children (MAAC), has joined their collaborative MAAC partners in implementing KaleidaCare Solutions for case management and tracking. Gwinnett provides services to the community through two children’s shelters, Project Safe Place, In-Home Services, Therapeutic Foster Care, and parenting classes. Gwinnett just opened the first Adolescent Boy’s Independent Living Program in Gwinnett County. KaleidaCare will help Gwinnett manage their residential facilities as well as their Community Based Services.
KaleidaCare welcomes its third Georgia customer for the quarter, the Alliance for Change Through Treatment in Tucker. The Alliance for Change Through Treatment is a Community Based Agency providing an array of child welfare services. Some of these programs include Intensive Family Intervention (IFI), Wrap Around Services, Sex Offender Treatment and Substance Abuse Treatment. In using the Revenue Maximization Module, the Alliance for Change Through Treatment will decrease their administrative burden with the Georgia changes.
Hope for Tomorrow, Inc. has joined the KaleidaCare family. Hope for Tomorrow, Inc. (HFT) has 600 children in their care through Foster Care and Adoption. HFT serves in eleven regions of Texas, Oklahoma, and Arkansas. HFT has 12 Texas offices ranging from Amarillo to their newest office in San Marcos. KaleidaCare will help the corporate office oversee all their locations as well as decrease the time and money used in transporting files. KaleidaCare’s Development Team has been busy making a number of system enhancements. KaleidaCare has recently released several Revenue Maximization Enhancements; including: Adding a Primary and Secondary Service Justification/Diagnosis to the Case Note and Session Log, Allowing for both a Rendering and Billing Provider per Service, Additional Search Options on the Generate Bill, Validator Error Report, and Authorization Warning Report to allow for more searching options and robust reporting.
Additionally, a number of Validator Edits have been added to the Validator Error Report, including:
- This Service Overlaps with Another Service for the Same Client
- Additional same day service(s) failed to validate
- Missing Billing Provider Number Type
- Missing Rendering Provider NPI Number
- A Number of Electronic Billing Requirements
Email Notification has been added for Agency Documents. Agency Documents have been added to the Email Notification Types on the Staff/Professional Assignment Screen. An Email Notification will be sent once an Agency Document has been created. Now users can be alerted when a Agency Document Home Study, Treatment Plan, or Assessment has been completed.
Staff/Professional Email Addresses have been added to the Staff/Professional Listings Report. These Email Addresses are hyperlinked, so the user can click on the email address to complete an email. Billing Credentials has been added as a data point and grouping to the Staff/Professional Listings Report.
A number of Assignment Enhancements have been made to Solutions. The Client or Facility ID Number, Type of Assignment, and Date Range have been added to the Assignment Screen and the My Assignment Screen. KaleidaCare Solutions will only allow for 100 direct assignments. The total number of direct client and facility assignments have been added to the Assignment Screen. If you would need to delete a number of direct assignments, please send a system feedback. Additionally, adding a Date No Longer Employed on the Staff/Professional Basic Information will End all Assignments for that date.
When adding a Facility, a new field has been added to automatically create a Family Record at the same time. This will create a Family Record with the same name and create the Family-Facility Relationship. This will reduce three steps in creating a foster family. |
